3. How we use your information
We use your personal data only where we have a lawful basis to do so:

We do not use your personal data for automated decision-making that has legal or similarly significant effects on you.
4. Who we share it with
We never sell your personal data. We only share it with trusted organisations that help us run our business, and only as much as they need:
- Zoho Corporation: our live chat (SalesIQ), CRM, email and support tools are provided by Zoho, which processes data on our behalf.
- Google: if you allow analytics cookies, Google Analytics collects information about how you use our website (such as pages viewed, approximate location and device type) on our behalf, so we can improve it. We do not use it to identify you. See our Cookie Policy.
- Professional advisers: such as our accountants, lawyers and insurers, where necessary.
- Other service providers: such as payment, hosting or IT providers, under contract and only on our instructions.
- Authorities: where we are required to by law.
All of our processors are required to keep your data secure and use it only for the purposes we specify.
5. International transfers
Wherever possible we use UK or European data hosting (for example, Zoho’s EU data centre). Some providers, such as Google, may process data outside the UK, including in the United States. If your data is transferred outside the UK, we make sure it is protected by appropriate safeguards, such as a UK adequacy decision or the UK International Data Transfer Agreement / Addendum.
6. How long we keep your data
We keep personal data only for as long as we need it:
- Enquiries and chat conversations: up to 24 months after our last contact, unless you become a client.
- Client and contract records: up to 6 years after our relationship ends, to meet legal, tax and accounting requirements.
- Marketing preferences: until you unsubscribe or ask us to stop.
After this, we securely delete or anonymise it.
7. How we protect your data
We use appropriate technical and organisational measures to protect your personal data, including access controls, secure and reputable platforms, and limiting access to people who need it. No method of transmission over the internet is completely secure, but we work hard to protect your information.
8. Your rights
Under UK data protection law, you have the right to:
- access the personal data we hold about you;
- ask us to correct inaccurate or incomplete data;
- ask us to delete your data;
- ask us to restrict or object to how we use your data;

- withdraw your consent at any time, where we rely on consent.
To exercise any of these rights, email info@zoswitch.com. We will respond within one month. There is normally no charge.
If you are unhappy with how we have handled your data, you can complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113. We would appreciate the chance to resolve your concern first.
9. Cookies
We use cookies to make our website work and, with your consent, to understand how it is used. You can change your choices at any time. Full details are in our Cookie Policy.
